MSF coordinates operations through collaborations between global offices. The MSF Operational Centre Amsterdam (OCA) is a partnership that is composed of the partners MSF-Canada, MSF-Germany, MSF-SARA, MSF-Sweden, MSF-Holland and MSF-United Kingdom. MSF-OCA has a team of more than 11,000 staff working in 115 emergency projects in about 31 countries.

The office of MSF-Holland located in Amsterdam hosts more than 400 employees, offering direct support to MSF-OCA operations. Around 50 staff focus on recruitment, communication and fundraising in The Netherlands (MSF-Holland) and 350 staff are focused on supporting MSF-OCA operations.

The Logistics department plays a key role in ensuring logistic performance for the benefit of the programs conducted in the various project countries. The department consists of the Procurement Unit and the Field Support Unit. The Amsterdam Procurement Unit (APU) is responsible for processing the orders from some 26 project countries and delivering a wide assortment of medical and non-medical goods to the projects within the required timeframe. A part of the assortment is strategically held in stock while the rest is procured on an as need basis.

With immediate effect and preferably not later than 1 May 2022 our Logistics department is looking for an:

Administrative Procurement Assistant (100%)

(For a period of 1 year)

Based in Amsterdam

Main objectives

In this position, you will work in close collaboration with the Administrator Procurement to safeguard the integrity of the data in the procurement information systems, to ensure effective and flawless system transactions and provide administrative and system support to Microsoft Dynamics 365 end-users in the Amsterdam Procurement Unit (APU).

Responsibilities and activities

To provide operational support in handling error correction/solving system issues, including reconciliation of the data in the Warehouse Management System of the Logistics Service Provider and the ERP system of APU, and EDI interface errors.

Makes necessary corrections in Microsoft Dynamics 365 that cannot be performed by end-users to facilitate smooth processing of orders and invoices.

Works in close collaboration with the Finance department regarding the intersection of order processing and financial transactions in the system

Maintaining the relevant work instructions and provides training to (new) end-users.

Identifies needs and constraints in regards to systems functioning and performance and proposes solutions and improvements to the Procurement Process Officer/Business Analysts.

Candidate Profile

We are looking for an enthusiastic, flexible and reliable person with an MBO/HBO-level education in an administrative or financial direction or with comparable experience.

You have worked at least 3 to 5 years in finance, logistics and/or supply chain.

Understanding of supply chain processes and financial transactions.

Familiarity with automated order processing systems. We currently use Microsoft Dynamics 365, but experience with other ERP systems such as SAP, Navision or Oracle is also considered a plus.

Good communication skills and fluency in English (speech and writing) are essential.

You furthermore are organized, service-oriented and result driven, next to a team player with initiative and good follow-up attitude.

Proficiency in MS Excel

Experience working in an international setting, fast-paced environment, multitasking and working with multiple deadlines.

- The gross monthly salary will be in scale 5 between 2,861 and 3,870 depending on relevant professional experience.
